Recruiters and HR

Interview scheduling without the availability thread.

Candidates pick a time that works in their zone. Panels are only offered when every interviewer is free. Buffers keep interviews from being stacked with no gap.

Updated 22 October 2026

Screens can be round-robin. Panels cannot.

A first screen can be hosted by any trained interviewer. Use round-robin. A panel, a hiring-manager conversation, or a loop that needs two people must be a collective meeting type, or you will book a candidate into a slot where one interviewer is already in another loop.

Calendar sync is the whole product for recruiting. If interviewer calendars are not connected, the page is guessing.

Candidates are in other time zones and other inboxes

The booking page shows the candidate their local time. Your interviewers see theirs. Send one link, not a grid of times pasted from three calendars. The time zone converter is for the cases where you still need to explain a time in email.

Reminders reduce the candidate who accepts and then misses a screen. Include the video link and a reschedule path. Ghosting goes down when changing the time is easier than disappearing.

Buffers, notice and daily limits

Put a buffer on interview types so a 45-minute screen does not end as the next one starts. Require enough notice that interviewers can read a CV. Cap the number of screens per interviewer per day if burnout is the thing your process is producing.

Those rules live on the meeting type, so a quick recruiter screen and a half-day onsite conversation do not share one availability template.

Keep the ATS as the system of record

BookMyTime should create the meeting, not replace the applicant tracking system. Use webhooks or Zapier to write the booking back. Intake questions can collect a portfolio link or the role they are interviewing for. They should not collect anything you would not want on a calendar invite.

If you are comparing tools recruiters already know, start with the Calendly alternative and the Cal.com alternative. Prefer the one your interviewers will actually connect a calendar to.

FAQ

Questions about this

Can't find yours? Visit the help center or talk to us.

Can a candidate book a panel only when everyone is free?

Yes. Collective meeting types intersect the required calendars and only offer the overlap.

Can any recruiter take a first screen?

Yes. Use round-robin so the candidate does not have to choose a name.

How are time zones handled?

Candidates see slots in their local time. Interviewer calendars stay in their own zones.

Can we stop interviewers from being booked all day?

Yes. Set daily limits, buffers and the hours each interview type is allowed to use.

Your time is worth booking — and paying for.
